Virtual Assistant Services for Irish Businesses
Irish SMEs are competing for office staff with large multinationals, particularly around Dublin, and a small firm cannot always match the offer. The admin does not wait for that to be solved: quotes, client chasing and diary management pile up on the owner.
Virtual Assistant Capital gives Irish businesses one dedicated, vetted VA who works remotely in Irish hours, on your tools. We have no Irish office and our VAs are not based in Ireland: they are professionals in India, where Irish working hours fall in an afternoon and evening shift. You get a free shortlist of 2–3 VAs within 72 hours, interview them yourself, pay nothing until your VA starts, and pay one flat monthly fee in US dollars, month-to-month.
What your VA takes on
- Solicitors: new enquiry intake, appointment booking, file opening admin and chasing client documents.
- Accountants and bookkeepers: chasing records ahead of Revenue deadlines, and organising receipts in Xero, Surf Accounts or Sage for your team.
- Estate agents and letting agents: portal enquiries from Daft.ie and MyHome.ie, viewing bookings and landlord updates.
- Trades and contractors: enquiries, quotes from your price list, job booking and invoicing.
- Clinics and dental practices: appointment reminders, recall lists and admin follow-up, never clinical work.
- Founders and directors: inbox, calendar, travel and meeting prep.
A typical week
- Monday: the week's calendar and priorities confirmed; anything from the weekend actioned.
- Daily: inbox, follow-ups and the recurring tasks you handed over.
- Midweek: CRM upkeep, invoicing support and document chasing.
- Thursday: research, reporting or a project you assigned.
- Friday: a written weekly summary of what was done and what needs your decision.
Tools they work in
- Workspace: Google Workspace, Microsoft 365, Teams, Zoom
- Finance: Xero, Sage, Surf Accounts, Dext
- Property: Daft.ie, MyHome.ie and your CRM
- Sales: HubSpot, Pipedrive, your own CRM
The bright line
Revenue filings, ROS submissions, payroll sign-off and regulated advice stay with you and your advisers; your VA prepares, organises and follows up. Because your VA is outside the EU, tell us how you want personal data handled: rules are agreed with you before any access is given, and your VA works only inside your systems. Check any data-transfer requirements with your own adviser. Plans are priced in US dollars; your card or bank converts the monthly fee.
Irish hours and your VA's hours
| Your business hours | Same hours in India (IST, UTC+5:30) |
|---|---|
| Ireland 9:00–17:30 in winter (GMT) | 14:30–23:00 |
| Ireland 9:00–17:30 in summer (UTC+1) | 13:30–22:00 |
That is an afternoon and evening shift in India, so your VA can overlap your whole working day. India does not change its clocks, so the shift moves by an hour twice a year.
Signs it is time
- You lost an office hire to a bigger employer's offer.
- The diary and inbox run your day.
- Client documents arrive late because nobody has time to chase.
- You want help without adding a full local salary.

FAQ
Are your virtual assistants based in Ireland? No. Our VAs are based in India and work remotely in the Irish hours you set. We do not have an Irish office.
Is a VA an employee of my company? No. You pay Virtual Assistant Capital one monthly fee and do not run payroll for your VA. Questions about how that is treated for your own tax belong with your accountant.
How do you handle GDPR? Data rules are agreed with you before any access is given, and your VA works inside your accounts with the permissions you choose. Your adviser can confirm what your business needs for transfers outside the EU.
Can a VA work full Irish office hours? Yes. Irish hours fall in an afternoon and evening shift in India, which is a normal schedule.
How fast can my VA start? Your shortlist arrives within 72 hours of your request; most clients interview and choose within the same week.
What if the fit isn't right? Tell us within 30 days and we replace your VA at no cost, carrying the documented context over so you do not start from zero.
